Turn Your Field Reporting App Data Into Marketing Content
If you use a field reporting app like CrewTracks, check this out.
CrewTracks has just released a feature that lets you export all the notes and photos from any number of jobs, for any date range, in a single PDF. I often help CrewTracks communicate new features to their users, and that was the case with this one. Keep an eye on their messages for a full rundown, including a training video I put together.
In the meantime, I want to share something that occurred to me while I was working on that video. I was building a new website and content marketing strategy for one of my clients at the same time, and it clicked:
Your notes and photos can serve as a dataset to train AI to talk about your projects.
That means AI can learn all the intricacies of the daily effort your crews put in (as long as they jotted a note or took a picture) and then write an interesting article about every single job you've ever recorded in CrewTracks. This new feature makes it so easy, there's really no excuse not to try it.
I walk through the whole concept in the video above. The feedback I keep hearing from people who've watched it is some version of: "That looks awesome, but I don't know if my system lets me export everything like that." If you're a CrewTracks user reading this, that's not your problem. You can export the full history of any job, right now. That's exactly what the new feature does. If you don't have CrewTracks, schedule a free demo to check it out.
Here's how to put this new CrewTracks feature to work in your marketing:
Step 1: Export your notes and photos for a job. Pull the full history of a project using the new export feature. You can do this for a single job or multiple jobs at once.
Step 2: Hand the file to an AI. My go-to is Claude, but ChatGPT, Gemini, Grok, Copilot, and others can all handle this kind of task.
Step 3: Use a prompt like this one.
I've attached a notes and photos report from CrewTracks for the history of a construction project performed by my company. Your task: draft a blog post for my website highlighting interesting details about this job. Look for ways to make my crew and company look good, for example the job remaining on schedule, dynamic adjustments to challenges faced, specific efforts to maintain safety and compliance, or anything else you can find. Do not make assumptions; only use real examples from the data provided. If you expand a story for editorial purposes, include a bullet list of "flagged content" at the end of the draft so I can review those instances. Be sure to include [add anything specific you want mentioned].
Copy that prompt, fill in the bracket at the end with anything you'd want highlighted, and hand it to the AI along with your PDF from CrewTracks. It will analyze the data and return a first draft in seconds.
That's the whole idea. I want every contractor to try this. You're already using CrewTracks to document your work. This is just the next step: turning that documentation into marketing content you can publish on your website.
If your website already has a blog, you're ready to go. If it doesn't, or if you want some help getting this set up, schedule a free consultation with me. I'm happy to spend an hour asking and answering questions and then send you on your way with no strings attached. If you want to keep working together after that, I'd love it. My pricing is here on my website if you want to look before we chat, but the first hour is genuinely free. You can book more time one hour at a time, or sign up for a 6-month engagement whenever you're ready.
